Scope of Disclosure Based on the Act on the Protection of Personal Information

Shimizu discloses the following types of information, based on the Act on the Protection of Personal Information.

1.Information on Disclosure of the Purposes for which Personal Information will be Used

When we obtain written personal information from you as a customer, we clearly state the purposes for which that information will be used at the time we receive it. When we obtain other personal information, either directly or indirectly, we will limit use of such information to the purposes of use described below.

  1. To provide business information to you as a customer

  2. To perform services related to the business purposes specified in the Shimizu Corporation Articles of Incorporation for you

  3. To manage the results of the services provided to you

The business purposes specified in the Shimizu Articles of Incorporation are described in Article 2 of the Shimizu Articles of Incorporation (PDF: 194 KB).

2.Shared Use of Personal Information

We may share some of your personal data from the personal information obtained from you as a customer, as noted above, with specific business partners or Shimizu group companies, etc., within the scope of the purposes of use described in the preceding paragraph. When doing so, we will first notify you that personal information items that will be shared, explain the scope of shared use, and the person responsible for managing your personal data at the user(s) who will also use your information.

Shared Use of Personal Data in the Construction Site Series

We share use of your personal information on the “Construction Site Series” operated by MC Data Plus, Inc., which provides ASP services for the construction industry. 3.Provision of Personal Information to Third Parties

We do not provide the personal information we have acquired from you to third parties without your prior consent.. However, we do make exceptions in the following cases:

  1. When we are legally required to provide such information

  2. When we need to provide such information to protect life, limb, or property, and it is difficult to obtain your consent

  3. When we find it especially necessary to provide your information to improve public health or promote the sound development of a child, and it is difficult to obtain your consent

  4. When we need to provide your information to cooperate with the performance of legally specified administrative procedures by a government institution, local public agency, or a subcontractor of such entities, and obtaining the your consent would interfere with the performance of the administrative procedures

4.Procedure, etc. for Complying with a Request for Disclosure, etc.

We will comply with requests for disclosure, etc. (disclosure, correction, etc., and cessation of use, etc.) of your personal information from you or your agent.

To request disclosure, etc. of information, enclose the requisite documentation with the designated application form, and mail it to the address listed below. Write “Documentation for Application for Disclosure, etc. enclosed” on the envelope in red.

(2)Documentation (forms), etc. that should be submitted with the request for disclosure, etc.

To request disclosure, etc., download the following application (A), fill in all designated items, enclose the documentation confirming that you are the person to whom the information pertains (B), and mail it.

One copy of public documentation such as a driver’s license or passport

(3)Request for disclosure, etc. by an agent

Enclose the following documentation (A or B) in addition to the documentation listed above for an agent that is the legal representative of a juvenile or an adult under guardianship, or an agent appointed by the person to whom the information subject to the request for disclosure, etc. pertains.

A.For a legal representative

  • One copy of the documentation confirming that you are the legal representative of the juvenile or adult under a guardianship (a copy of public documentation such as the driver’s license or passport of the legal representative)
  • One copy of the documentation confirming the legal representative relationship (a certified copy of the family register or health insurance card listing dependent family members)

B.For appointed agents

  • One copy of the documentation confirming that you are the appointed agent
  • One copy of the seal registration certificate of the person to whom the information pertains

(4)Application fee for request for disclosure, etc. and method of collection

500 yen per application
Attach a 500-yen postage stamp to the enclosed documentation.
We will notify you if insufficient postage or no postage has been enclosed. However, the request for disclosure, etc. will be deemed as not having been made if this is not paid within the specified timeframe.

(5)Method of response to a request for disclosure, etc.

We will mail a written response to the address of the applicant listed on the application.

(6)Purposes for which the personal information obtained in relation to a request for disclosure, etc. will be used

We will only use personal information obtained in conjunction with a request for disclosure, etc. to the extent necessary to respond to the request for disclosure, etc. We will retain the documentation submitted for two years after the response to the request for disclosure, etc. is complete, and will then dispose of it.

Reasons for not disclosing retained personal data

We will not disclose information in the instances listed below. We will notify the applicant of the decision not to disclose and the reason why. The fee will not be returned even when disclosure is denied.

  • When the identity of the person cannot be confirmed because the address listed on the application and the address listed on the documentation confirming the identity of the person do not match the address on record at Shimizu Corporation

  • When the right as an agent cannot be confirmed for an application submitted by an agent

  • When there is an error or omission in the designated application

  • When disclosure would pose the risk of harm to life, limb, property, or other rights and interests of the person to whom the information pertains, his or her agent or a third party

  • When disclosure could substantially interfere with the proper performance of company business

  • Other instances that would violate laws and regulations
